Guidelines for Financial Assistance
Faculty and students can claim financial assistance towards Journal / Conference Publications,
Patent Filing (Design & Utility), and Copyright Registration, as per the institute's
R&D financial assistance policy. Select the relevant category below and follow the steps in order.
Procedure to Claim Financial Amount for Paper Publication
Who can apply
Faculty (as PI) can apply directly. If a student is the lead author, the Project Guide must additionally complete the Google Form entry and co-sign the application alongside the student.
1 Gather the Proof

Download the Indexing Proof of the journal from UGC / SCOPUS / WoS from the respective website —

Take a printout of it.

Take a printout of the 1st page of the published paper (or the conference brochure/proceedings page, for conference papers).
2 Check the Policy-Admissible Amount

Before writing the application, check the amount of financial assistance admissible as per policy, so the figures in your application are accurate. Click Here to view the policy.
3 Write the Application

Write an application mentioning the Opening Balance, Required Amount, and Closing Balance.

If the applicant is a student, the Project Guide co-signs this application.
4 Attach Bills / Receipts

Attach bill proofs / receipts of the Conference Brochure, Registration Amount, T.A. and D.A., if applicable.
5 Record the Entry

The Project Guide must do the entry in the Google Form —

Also make an entry in the Department Bill Book under the R&D head.
The Google Form feeds the institute-wide tracking record; the Bill Book is the department's own accounts ledger — both are needed.
6 Get Signatures & Submit

Take signatures from the HoD, Department R&D Coordinator, Dean R&D, and Principal.

Submit the original copy of the application and bill to the Accounts Section.

The application should be addressed to the Principal and must include:
- Subject line stating the type of financial assistance requested
- Opening Balance, Required Amount, and Closing Balance
- Proof of filing / publication and fee invoice attached
- Signature of Dept. Research Coordinator, HoD, Dean R&D, and Principal
Procedure to Claim Financial Amount for IPR-Design and Patent Filing
Who can apply
Faculty or student inventors can apply. If a student is the lead applicant, the Project Guide co-signs the application and coordinates the entries with the Department R&D Coordinator.

The spreadsheet feeds the institute-wide tracking record; the Bill Book is the department's own accounts ledger — both are needed.
5 Get Signatures & Submit

Take signatures from the HoD, Dean R&D, and Principal.

Submit the original copy of the application and bill to the Accounts Section.
For filing, 50% of the amount will be sanctioned.

Submit the xerox copy of the application, bill, and amount-received proof to Dean R&D.

Procedure to Claim Financial Amount for Copyright
Who can apply
For student projects, the Project Guide is responsible for the Google Sheet entry and co-signing the application. Faculty may apply directly for their own copyrighted work.
